Description

Reusable launch systems are the key to seamlessly connecting Earth and space, and operations are at the heart of that mission. As an Office Manager at Stoke, you’ll play a critical role in supporting our Cape Canaveral operations. We are seeking a skilled and motivated individual to join our team. The ideal candidate will have a strong background in operations coordination and administrative services and a passion for driving operational excellence. This role will be pivotal in ensuring high-efficiency operations while supporting the growth and development of the launch & recovery team.

As part of a small, well-supported team, you will have access to the resources you need to get the job done right while simultaneously boosting your skills at a pace that can’t be matched in most other roles. You must be ready to stay focused, move fast, self-direct, and learn on the fly.

Responsibilities

  • Coordinate meetings, both onsite and offsite, including internal and external participants. This includes ordering and setting up catering, post-visit clean-up, planning agendas, directing or escorting participants, and keeping and distributing minutes.
  • Work with visitors and customers to schedule onsite meetings, organizing all necessary logistics
  • Arrange, maintain, and modify the leaders’ schedules and associated organizational activities
  • Maintain calendars for events, conferences, and proposal related activities
  • Assist the team with all aspects of travel logistics, including booking flights, hotels, rental cars, and other arrangements as needed
  • Handle confidential business matters with discretion
  • Support HR/Recruiting team with candidate interview coordination, new hire onboarding, swag distribution, and creation of employee/candidate materials
  • Partner with marketing team to source, order, and distribute employee and candidate swag
  • Manage employee appreciation events and coordinate employee gifts
  • Partner with logistics and receive, sort, scan mail, and ensure soft copies are delivered to appropriate individual and hard copies are shredded
  • Manage company contact methods including phone messages and email inbox, responding to and triaging requests as appropriate
  • Manage CCSFS badging & coordinate other internal badging requirements as required
  • Own the periodic janitorial support at all Cape Canaveral Stoke Space locations
  • Own food, snack, & beverage selection and stocking
  • Own office supplies and inventory and office budget
  • Support team as needed
  • All other duties as assigned

Qualifications

  • High School Diploma and 6+ years’ relevant professional experience, or an equivalent combination of education and experience
  • Computer skills required include advanced expertise in Microsoft Office software (Word, PowerPoint, Outlook and Excel)
  • Ability to coordinate Outlook calendar, conference calls, and shared link applications
  • Prior experience coordinating both on and off-site meetings and/or events
  • Ability to complete a wide variety of tasks with minimal supervision
  • Experience with travel planning
  • Ability to work onsite full time
  • Ability to compile and generate reports and presentations
  • Experience proofreading and correcting documents for grammatical errors
  • Proactive, highly motivated and adaptable, with excellent organizational skills including the ability to juggle multiple tasks, changing needs, and competing priorities
  • Highly developed verbal and written communication skills and proven success in organizing, prioritizing, and completing assigned responsibilities with attention to detail
  • Ability to interface with executive level internal and external contacts with considerable autonomy
  • A positive, can-do attitude and a willingness to work on a variety of tasks
  • Ability to pass USSF background check for Cape Canaveral Space Force Station
  • Willing to relocate to Cape Canaveral, FL

Compensation

Target Levels:

  • Level 2 Range:$27.92 - $41.90
  • Level 3 Range: $34.93 - $52.35

Your actual level and base salary will be decided based on your specific experience and skill level.

ITAR Requirements

To conform to U.S. Government space technology export regulations, including the International Traffic in Arms Regulations (ITAR), you must be a U.S. citizen, lawful permanent resident of the U.S., protected individual as defined by 8 U.S.C. 1324b(a)(3), or eligible to obtain the required authorizations from the U.S. Department of State.
